and Preparedness Plan          

The following policies, practices and conditions are set forth to incorporate guidance from the Centers for Disease Control and Prevention (CDC), the Colorado Department of Public Health and Environment , and the Federal Occupational Safety and Health Administration (OSHA) into our daily practices at the RVC Facility.

Knowing that eliminating all risk is impossible, RVC is committed to providing an environment that is as safe and healthy as reasonably possible for all coaches, athletes and families. To that end, we have developed the following Safety Procedures and Preparedness Plan in response to the COVID-19 pandemic.  We will continually monitor the COVID-19 pandemic; and as it evolves the below policies and procedures will be modified. 

By continuing with RVC for the remainder of the 2020-2021 season all adults and guardians of minors assume ALL risks associated with participation including but not limited to exposure to COVID-19.  Exposure to COVID-19 can lead to temporary or permanent health consequences and death.

Club Directors, coaches, athletes and families are all responsible for implementing and complying with all aspects of the policies and procedures in this plan.  Our goal is to mitigate the potential for transmission of COVID-19 in our facility, and that requires full cooperation.  RVC’s staff is charged with enforcing the policies and this plan during their scheduled training times, with RVC’s directors responsible for further disciplinary actions.  All athletes and guardians are required to accept and e-sign this document as assumption of risk, waiver of liability, understanding of and agreement to comply with all aspects of the below Safety Procedures and Preparedness Plan.  Any violations by athletes can result in revocation of facility usage privileges with no refunds given. 

Club director, or an appointed staff member, will be on site at all times to ensure compliance.

      Facility Layout via Courts for Social Distancing

  • RVC will NOT be open for public use.  No parents, siblings, spectators or any additional individuals will be allowed in the facility.

The below details court areas:

  • Training/Workout area: Quarantine area for any coach or athlete that begins not feeling well during training. (900 sqft+)
  • Restroom use will be limited to “emergency” use only.  (If you absolutely cannot wait until you get home to use the restroom it would be considered an emergency)  All coaches and athletes are asked to utilize the restroom prior to arriving or after leaving the facility.  If emergency restroom use is required, RVC’s staff will clean after each use.
  • Social distancing signs will be displayed at RVC. 

      Procedure for Pre-Arrival, Arrival
and During and After Training

PRE-ARRIVAL

  • Accept and e-sign waiver (required only once)
  • Athletes to be fully dressed including shoes and face coverings
  • Water bottle full recommended 1/2 gallon or more. Water fountain is off limits and there will be no refilling of water bottles     

ARRIVAL

  • Coaches and athletes are required to enter at the main entrance (located on the east side of the building) 
  • Exit your vehicle ready to practice or train. 
  • Maintain social distancing while waiting for pre-screening checks when entering the facility
  • With your mask securely in place proceed to the main entrance where coaches and athletes will be greeted by an assigned RVC staff member who will document attendance and temperatures. Do not remove face covering.
  • Coaches and athletes will be allowed entrance into RVC 10-minutes prior to their scheduled session; absolutely NO earlier. 
  • All coaches/staff/athletes are required to wear masks during their time at RVC.  Only approach your assigned court when you have been directed to do so by a RVC staff member
  • Coaches and athletes entering RVC will be required to secure all items including but not limited to keys, driver’s license, phone etc. in a single bag/backpack next to their water bottle.     
  • Once in the gym all coaches and athletes will be directed to their assigned court. Athletes and coaches must complete hand washing and or use of sanitizer.  
  • All drills utilized within practice will be developed by coaches to assure a cohesive training method with a strong emphasis on social distancing.

DURING

  • Drinking fountains will be turned off. Athletes will be required to bring their own, FULL, water bottle and keep their water next to their bag on their assigned court.
  • All volleyballs will be disinfected before each training.
  • All huddles and coaching will occur with a minimum of 6’ of distance between all athletes and coaches.

AFTER

  • At the conclusion of practice all coaches and athletes will immediately be directed to exit out the door on the west side of the building in the training/work out area and to utilize the sanitizer located at the door prior to exiting the facility 

Screening and Policies for ANYONE exhibiting Signs and Symptoms of COVID-19  ||  entering or within RVC

All coaches, athletes and families are required to self-monitor for signs and symptoms of COVID-19. The following policies and procedures are being implemented to assess health status, of all, prior to entering RVC.  This process is not all encompassing and does not guarantee the health of any individual entering RVC.

  • All individuals entering the facility will have their temperature checked and only individuals with a temperature lower than 99.5 degrees will be allowed to enter the facility.
  • All individuals entering the facility will be required to be cold/flu/COVID-19 symptom free for three days prior to entrance.  If anyone is displaying any symptoms of the above, they must be kept home.  If, upon their arrival or during their training time they display any of the above symptoms they will be immediately moved to (quarantine zone) and must be picked up by their parents immediately on the west side of RVC.  Then, the court of the facility they utilized as well as quarantine zone will be immediately disinfected.  The sanitizing process will be implemented by RVC Staff and will take approximately 15 minutes.  Athletes that could have come into contact with the athlete displaying signs of illness will immediately wash their hands and arms and resume training once the area has been disinfected.
  • Should anyone participating with RVC, coach or athlete, be diagnosed with COVID-19, they should immediately contact RVC’s Club Directors and follow proper healthcare procedures as laid out by their health care professional, including quarantining.  Athletes, coaches, and staff must have, in writing, signed, clearance from their health care professional to resume activity after a COVID-19 diagnosis OR the original, dated, “order” to quarantine with the specified duration from their health care professional so RVC can verify their compliance with that “order” upon their return.     

Contact Tracing

  • Detailed records of individual attendance at RVC will be kept and provided to health authorities upon request to allow for contact tracing should it be necessary.  Upon official request, parent contact information will be provided.      
  • Information will ONLY be provided to government/health authorities, it will not be shared with coaches, staff, athletes or families.  Government/health authorities will contact individuals to relay any additional actions that must be taken.  Because RVC’s staff are not licensed medical experts, other than in direct cases of diagnosis, RVC’s staff will not implement additional mandatory quarantine of secondary or tertiary contacts.  However, athletes/families/coaches are required to notify RVC’s Directors if they are ordered to quarantine by a government or health authority; and that order must be adhered to by the athlete or coach.


Plans for outbreak, detection and reporting

In the event an outbreak occurs RVC's facility will close temporarily, and report the suspected outbreak to public health.

  • If two or more cases are confirmed within 14 days among employees, RVC will remain temporarily closed. RVC's Club Director will report the suspected outbreak to the local public health agency  
  • RVC will work with our local public health agency to determine if longer-term closing is necessary.
  • RVC will be working closely with public health, and it may be possible to conduct a rapid risk assessment and implement immediate control measures instead of longer-term closing. Local public health will help:
    • Confirm whether an outbreak exists.
    • Identify additional cases.
    • Determine the extent of the outbreak.
    • Work with the facility to determine additional steps.

    Hand washing

  • Basic infection prevention measures are being implemented at RVC at all times.
  • Upon arrival to the facility, all individuals, coaches and athletes, are required to wash their hands and arms for at least 20 seconds with soap and water before practice begins. 
  • Hand sanitizer will be available throughout the facility and specifically on each court. 

      Respiratory Etiquette

Just a reminder of basic respiratory etiquette while attending activities inside of RVC.

  • It is recommended, that you cough or sneeze into your practice t-shirt to reduce any possible initial viral spread. 
  • Avoid touching your face, in particular mouth, nose and eyes, with your hands.  If you do touch your face, cough or sneeze into your arm or shoulder you are required to immediately leave the space and re-wash your hands/arms.     
  • Dispose of tissues in the trash and wash or disinfect hands immediately afterward.

      Housekeeping

Housekeeping practices are being implemented, including routine cleaning and disinfecting of all high touch surfaces, volleyballs, training equipment, and practice areas, including restrooms and meeting areas. Frequent cleaning and disinfecting will be conducted in high-touch areas.

      Communication and Training

This COVID-19 Safety Procedures and Preparedness Plan was communicated to all coaches and necessary training was provided. Additional communication and training will be ongoing, and updates provided to all coaches, and where necessary relayed to all athletes and families.

REFUND POLICY

Running a travel club sports organization isn't just a lot of work, it is a complicated and expensive operation. RVC has to budget and pay for tournaments, our facility, gear, travel, coaching stipends, insurance, and administration costs (just to name a few). If a player drops from the team, none of these costs change. The Club still has to pay the same amount, but our revenue drops by 1/10th.

Parents’ point of view is understandable. If a player leaves the team mid-season, parents want to be refunded the team fees they’ve paid for the remainder of the season. They feel like they’re being asked to pay for something they’re no longer getting.

The money that you're paying as a parent isn't just for your child, it's for the team as a whole to be able to function. In order for teams to exist, we have a strict NO REFUND policy.

We currently offer 3 payment plan options, our most popular option is our "Flex Option" and 88% of our families choose this option to pay for their players Club Fees. We offer this monthly option to cover costs throughout the season rather than charging for everything up front.

When a player leaves the team, parents don’t keep making the monthly payments since their child is no longer playing, leaving the Club at a loss. When this happens and a player leaves, RVC does not pass the cost onto the rest of the team and does not increase the cost of club fees, or travel trips to make up for the loss.

Refund Policy: All services rendered by RVC are provided on a non-refundable basis. All payments made to RVC become completely non refundable.

COVID-19 Related Exception Refund Policy:

Due to the ever changing restrictions and the addition of Colorado's Covid Dial frame work it is unrealistic for us to put a comprehensive refund policy in place that we feel we can honor and deliver.

FAQs

What does it mean that you don't have a refund policy in place that you can honor?

It means until we get to the other side of the pandemic and there is stability in our Nation, State and County that we are not in a position to promise or guarantee a specific amount of refund

What happened to your original refund policy?

When we initially put or COVID Refund policy together we did it based on the info we had at the time and what appeared the trajectory of the pandemic was headed. Due to the constant changes with the introduction of county levels and the frame work of those levels it is unrealistic for us to adhere to our original refund policy

Does this mean I will not get any refund and forced to pay for the season even if there's no return to play?

No, it does not mean there will not be any refunds provided. Depending on the circumstances the situation will be assessed and detailed information will be provided

What about Travel Trips?

In the event that a travel trip is canceled in it's entirety and not postponed or rescheduled then any monies paid towards a trip would be eligible for a full refund


We understand the frustration that accompanies the continual changing information and uncertainty. We are committed to doing the very best we can to offer assurance and certainty for all of our families regarding the current pandemic situation. In the event that there is a complete shut down we are just asking for patience and the opportunity for the dust to settle to provide information that we as RVC can stand behind and deliver.

The novel coronavirus, COVID-19, has been declared a worldwide pandemic by the World Health Organization. COVID-19 is extremely contagious and is believed to spread mainly from person-to-person contact, including individuals without disease symptoms. As a result, federal, state, and local governments and federal and state health agencies recommend social distancing and have, in many locations, prohibited or limited the congregation of groups of people.

The health and well-being of our staff and athletes remains our top priority. In order to minimize the risk of COVID-19 entering our environment and spreading amongst our community, we will only allow staff assigned to work and athletes scheduled to participate to be in our facility. Parents wishing to remain on site can utilize the parking lot to wait for their athlete(s). Athletes waiting to attend a session will need to wait outside while maintaining social distance from others.

Furthermore, all participants in sponsored activities at Relentless Volleyball Club must agree to and abide by the following:

  • Agree to temperature checks prior to entering the facility
  • Hand washing procedures
  • Social Distancing Guidelines
  • Follow all facility rules and guidelines

Relentless Volleyball Club (hereafter referred to as the “Club”) has put in place numerous preventative measures and enhanced cleaning protocols to reduce the likelihood of spreading COVID-19 in Club’s facility environment; however, the Club cannot guarantee that you or your child(ren) will not become infected with COVID-19. Further, attending sponsored activities at the Club or while traveling to sanctioned events could increase your risk and your child(ren)’s risk of contracting COVID-19.

By signing this agreement, I acknowledge the contagious nature of COVID-19 and voluntarily agree to the participation terms described above and assume the risk that my child(ren) and I may be exposed to or infected by COVID-19 by attending the Club and that such exposure or infection may result in personal injury, illness, permanent disability, and death.

I understand that the risk of becoming exposed to or infected by COVID-19 at the Club may result from the actions, omissions, or negligence of myself and others, including, but not limited to, Club employees, volunteers, and program participants and their families. I voluntarily agree to assume all of the foregoing risks and accept sole responsibility for any injury to my child(ren) or myself (including, but not limited to, personal injury, disability, and death), illness, damage, loss, claim, liability, or expense, of any kind, that I or my child(ren) may experience or incur in connection with my child(ren)’s attendance at the Club or participation in Club programming including travel tournaments (“Claims”).

On my behalf, and on behalf of my children, I hereby release, covenant not to sue, discharge, and hold harmless the Club, its employees, agents, and representatives, of and from the Claims, including all liabilities, claims, actions, damages, costs or expenses of any kind arising out of or relating thereto.

I understand and agree that this release includes any Claims based on the actions, omissions, or negligence of the Club, its employees, agents, and representatives, whether a COVID-19 infection occurs before, during, or after participation in any Club activity.
